User definition
A “user” or a “user account” is a unique email address like john@example.com used to sign in and access Google Workspace services. Each user account requires a license. Aliases and groups do not count as separate users and do not need licenses.
Plans, subscriptions, and licenses explained
Plan
A plan is a Google Workspace product with a fixed set of features and a price, like Business Starter or Business Standard.
You choose one plan for your whole company. This limit is set by Google, with exceptions only for large enterprise accounts.
Subscription
A subscription is your active Google Workspace service based on the plan you chose. It includes the number of user licenses and your billing frequency — monthly or annual.
License
A license gives a user account access to the Workspace plan in your subscription. Licenses can be assigned manually or automatically. Without a license, the account exists but can’t use any features of the plan.
For example, some users in your domain can have Business Starter licenses to access email and other tools, while others can have free Cloud Identity accounts to manage logins without full Workspace access.
Adding and removing users and how it affects pricing
You pay a fixed price per user each month or year.
Each user needs a license based on the plan you pick (like Business Starter, Standard, or Plus).
- On the monthly plan, you can add or remove users anytime, and you’re only billed for active users.
- On the yearly plan, you can also remove users, but the licenses stay active until the end of the term. You won’t get a refund, but you can reuse those licenses for new users at any time. That’s why the yearly plan has a lower price per user.
Upgrading and downgrading plans
You can upgrade to a higher plan anytime, no matter if you’re on the monthly or yearly plan.
If you’re on the monthly plan, you can also downgrade at any time.
If you’re on the yearly plan, you can only downgrade at the end of your contract term.
300 user limit on Business plans and licensing rules
Google Workspace is billed per user. Each user needs a paid license.
Google sets a limit based on the plan type.
- Business plans (Starter, Standard, Plus) allow up to 300 users.
- Enterprise plans have no user limit.
The limit comes directly from Google’s pricing structure and applies everywhere.
Each user license includes a unique email address and access to Google Workspace services. You can create email aliases (e.g., sales@yourcompany.com) and groups for free, but each person who needs to log in must have their own paid license.
Can the subscription be canceled anytime?
Yes, with Canagon you can pay monthly or annually.
On the monthly (flexible) plan, cancellation takes effect immediately — you stop being billed on the day you cancel.
On the yearly (fixed-term) plan, you can cancel at any time, but the plan continues until the end of the prepaid year. No refunds are given for unused time.
EU VAT billing rules
If you are an EU resident or your company is registered in the EU, VAT rules apply.
Our company is VAT-registered in Ireland.
If your business is VAT-registered in the EU (outside Ireland), the VAT rate will be 0%.
If your business is registered in Ireland, 23% VAT applies.
If you are an individual or a business in the EU not registered for VAT, VAT is charged according to your country of residence.
If your business is based outside the EU, no VAT is charged.
